VisitLog and GDPR

In VisitLog, you are able to dynamically set GDPR rules and text. You as a customer decide for yourself what it should say and how GDPR should work. We have given you as a customer a sample text that needs to be edited before it can be presented to your visitors. You will find more about this below.

The GDPR law is based on two GDPR rules: Consent or Legitimate Interests.

  • With the consent rule, the visitor needs to consent to you saving the data for a certain purpose and for a certain time.
  • With the Legitimate Interests rule, it can be considered that it is in the company’s and the visitor’s interest to save the data for a certain purpose and that that purpose does not need to be agreed to. For example, an evacuation list in the event of an emergency.

GDPR Choices

  1. You as a customer can choose to only activate the Legitimate Interests rule and then only inform customers about the way in which the data is saved using a GDPR icon/button on the kiosk.
  2. You can also choose to activate Balance of Interest together with a Consent Rule in order to possibly save the data longer or to use the visitor’s data for something that the visitor may be deemed to have to consent to.

To get to the settings for GDPR, go to Administration -> GDPR at the bottom right, see below (1)

Change Settings

The places that you need to change are as follows.

  1. The GDPR rule and how long it must be saved. Examples are below.
  2. The text is an example text
  3. Activate GDPR on the kiosk(s). Applies to all locations/placements.

GDPR example with Legitimate Interests

In this case, the visitor does not need to consent to you saving the data for security and statistics. An icon appears on the kiosk where the visitor can read and also enter their email address to have them emailed.

  1. Purpose, Information, Legal basis and time it is saved
  2. If you want to protect the personal data further but save the statistics, you can tick this option. Then all information is overwritten with xxxx at the time of logout or at a time that you choose.

In this case, the visitor needs to consent to you saving the data longer than just for security/evacuation list. An icon is displayed on the kiosk where the visitor can read also enter their email address to have them emailed, a form also prompts the visitor where the visitor can choose whether to consent.

  1. Purpose, Information, Legal basis and time saved for the different options: Consent or Legitimate Interests.
  2. If you want to protect the personal data further but save the statistics, you can tick this option. Then all information is overwritten with xxxx at the time of logout or at a time that you choose.

In this case, the visitor needs Consent to the data to be able to register at all. An icon is displayed on the kiosk where the visitor can read also enter their email address to have them emailed, a form also prompts the visitor where the visitor can choose whether to consent.

  1. Set color of Icon and anonymization in these settings. If you want to protect the personal data further but save the statistics, you can check this option. Then all information is overwritten with xxxx at the time of logout or at a time that you choose.
  2. This line is needed for DENIED GDPR from the visitor
  3. Purpose, Information, Legitimate Interests and time saved for the various options
  4. Don’t forget to activate the GDPR function when everything is ready
